How to screen 300 applications without reading 300 CVs

Volume is not the problem. Reading every CV the same way, by hand, is. Here is a screening process that scales and stays fair.

A popular vacancy can bring in hundreds of applications in a few days. Most teams respond the same way: someone blocks out an afternoon, opens CV after CV and tries to stay consistent until the last one. They rarely do, and nobody can blame them.

1. Decide what good looks like before you open a single CV

Write down three to five must-haves and a handful of nice-to-haves. Be specific: "three years running B2B campaigns" is screenable, "strong marketer" is not. This list is what every application will be compared against.

2. Score, do not sort

Sorting CVs into yes, no and maybe piles depends on your mood and the order you read them in. Scoring each one against the same criteria gives you a ranking you can explain, to a hiring manager and to a rejected candidate.

3. Let software do the first read

This is where an AI recruiter earns its place. In SmarterATS, Boo reads every application, scores it against the role you wrote and explains why it scored the way it did. You start from a ranked list with reasons, not a pile of PDFs.

  • Every CV gets the same attention, including number 300
  • Each score comes with the reasoning behind it
  • You review the shortlist; nothing is decided for you

4. Spend your time on the top of the list

Once the first read is done, your hours go to the people most likely to fit: a closer look, a call, or an AI interview to compare candidates on the same questions.

5. Close the loop with everyone

Candidates remember silence. Send a clear, kind update to everyone who did not make the shortlist. With templates and AI-written emails, it takes minutes instead of an evening.

The goal is not to remove people from screening. It is to make sure their time goes where judgement matters.
